Capital projects, from the first purchase order to the fixed asset

VenturusEAM keeps each capital project’s budget, costs and documents on one record and posts every cost to construction in progress as it happens. Receipts, contractor invoices and work-order labor land on the project with their journal entries attached, and a completed project becomes a fixed asset in one step, with depreciation starting the same day.

One record for every capital project

Each project carries its number, dates, budget, project manager, location, department and documents. It moves from planned to active, on hold and completed, can be reopened to fix a cost, and locks for good once it is capitalized.

  • Capital project record

Set up each capital project with its number, name, dates, budget, project manager, location and department, and keep its documents with it.

  • Capital project portfolio view

See all projects with totals for projects, active projects, budget and spend, and a count of active projects on the home dashboard.

  • Project status from planned to capitalized

Move a project from planned to active, on hold and completed, and reopen it if a cost needs fixing before capitalization.

Costs that arrive on the project by themselves

A received purchase order line tagged to the project posts to CIP, an approved contractor invoice posts when it is approved, and work-order labor posts as each hour is booked. Every cost carries one of twelve cost types and the journal entry that posted it, so the CIP subledger reconciles to the account line by line.

  • Twelve capital cost types

Classify every project cost as construction, engineering, equipment, labor, materials, freight, installation, testing, permits, professional fees, interest or other.

  • Costs captured from purchase order receipts

When a purchase order line tagged to a project is received, the cost posts to CIP and appears on the project with the PO, receipt and journal attached.

  • Costs captured from contractor invoices

A non-PO contractor invoice coded to a project posts to CIP when it is approved.

  • Costs captured from work-order labor

Labor booked on a work order linked to a project posts to CIP as each hour is recorded.

  • Manual project cost lines

Add a cost by hand with its type, vendor, invoice and the journal entry that already posted it.

  • Cost detail and correction

Open any project cost to see its source, and correct or remove it while the project is not locked.

Budget, commitments and the day the machine lands

Set a budget for each cost type and see spent, committed and remaining against it, with open purchase orders counted as committed spend. The readiness card anchors the project on the equipment arrival date and warns you when install work is scheduled before the machine is on the dock.

  • Capital and non-capital cost split

See how much of a project's spend is capitalizable and how much is not, across all projects.

  • Budget against actual

Track each project's spend against its budget, with remaining amount and percent used, and see overspend flagged.

  • Equipment arrival and readiness card

Anchor the project on when the machine lands and see every linked PO and work order against that date, with a warning when install work is scheduled before the equipment arrives.

  • AFE approval before spending

Approve a project's authorization for expenditure before any spend is allowed, and carry the AFE number onto its purchase orders and costs.

  • Vendor drill-down across projects

See which vendors are billing your capital projects, with their POs, invoices and last order dates.

  • Budgets by cost type

Set a budget for each cost type on a project and track spent and remaining against each one.

  • Open commitments against budget

Count open purchase orders as committed spend, so remaining budget reflects what is already ordered.

  • Retainage and joint-venture splits

Hold back retainage on contractor invoices and split project costs between joint-venture partners.

Capitalize a finished project in one step

Enter the asset number, useful life and salvage, check the preview of capitalizable cost, and post. The fixed asset is created, the entry posts to the asset and out of CIP, the project locks and depreciation starts in the same transaction, or you can split the project into components with their own lives.

  • One-step capitalization to a fixed asset

Turn a completed project into a fixed asset in one step: the asset is created at the project's capitalizable cost, the entry posts, the project locks and depreciation starts.

  • Capitalization checks before it posts

Capitalization refuses while the period is closed, a cost is unclassified, a cost has no journal entry, or the project has no costs.

  • Capitalize into components on the date you choose

Split a project into several component assets with their own lives, and set the in-service date.

  • Costs mapped to the asset and project locked

Every capitalized cost is linked to the asset it became, and the project is locked against new costs.

Trace any asset back to the purchase order

The project page lists every related work order, purchase order, vendor invoice and journal entry, and the asset it became. A signed webhook tells your other systems the moment a project is capitalized, with the new asset, the amount and the journal entry.

  • Project trace from purchase to asset

The project page lists every related work order, purchase order, vendor invoice, journal entry and the asset it became.

  • Capitalization event to your other systems

A signed cip.capitalized webhook fires after a project is capitalized, carrying the project, new asset, amount and journal entry.

VenturusAI

VenturusAI explains where an asset’s book value came from

Say an asset or journal entry number and VenturusAI explains the net book value from the asset’s own figures, then walks back to the capital project and vendor costs it came from and the depreciation posted since. The controller checks the figures in the drill-down before relying on them.

How VenturusAI works
  • Ask "why is the book value what it is" for an asset

Voice narrates the recorded chain from asset to ledger. The controller checks the figures in the drill-down before relying on them.

  • Chain of custody from receipt to ledger

The graph gives voice a recorded chain to narrate. People read the chain and open the source records to verify them.

Common questions

When does a project cost post to construction in progress?

A purchase order line tagged to the project posts when it is received, a non-PO contractor invoice posts when it is approved, and work-order labor posts as each hour is booked. Parts issued to a work order still go to maintenance expense.

What stops a project from being capitalized too early?

Capitalization refuses while the period is closed, while any cost is unclassified or has no journal entry, or when the project has no costs. Each refusal names the cost lines that need attention, and the depreciation method must be stated rather than defaulted.

Can one project become several assets?

Yes. You can allocate the project cost across several component assets, each with its own useful life, and choose the in-service date at capitalization.

Do open purchase orders count against the budget?

Yes. Open purchase orders count as committed spend, so the remaining budget for the project and for each cost type reflects what is already ordered as well as what is spent.

The plant never stops. Neither does the record.

Bring an asset list and a month of work orders. We will load them and walk through your own plant in VenturusEAM, from the purchase order to the depreciation run.
